Responsibilities

In this position, you will provide administrative support to doctors and administrators in a busy retina practice.

  • Assist in coordinating meetings for the director of operations and doctors
  • Forward urgent messages to the on-call doctor
  • Check messages that came in during afterhours and forward the messages to the responsible department
  • Assist the administrator with payroll
  • Coordinating new candidate interviews and onboarding process
  • Prepare and complete all paperwork, orders, and insurance arrangements
  • Complete calendar management
  • Handle incoming and outgoing mails and faxes
  • Transfer lab results to appropriate technicians
  • Ensure physician is prepared for all contacts, calls, visits and meetings
  • Arrange staff meetings for the administrator
  • Administrative and other duties as assigned
  • Cross training and back up support for front desk positions as need
  • Research information
Requirements:

Qualifications

  • Polished, professional and tactful
  • Previous work experience in healthcare or has experience as an administrative assistant
  • Excellent organizational skills and ability to prioritize assignments
  • Proficient with MS Office Programs: Words, PPT, Excel
  • Great interpersonal skills
  • Excellent communication skills (verbally & writing)
  • Able to travel between all three offices when needed: Laguna Hills, Santa Ana and Newport Beach
  • Knowledge of medical insurance and billing

Preferred

  • Knowledge of medical terminology
  • Able to demonstrate and make reports using MS Office programs (PowerPoint, Word, etc.)
  • College degree preferred but not required
