Our elder law firm is seeking a courteous, organized and professional receptionist/administrative executive assistant to manage our front desk. In this role you will greet clients and visitors upon arrival at reception, answer and redirect phone calls, handle inquiries, take accurate messages for attorneys, when necessary, and schedule consultations and appointments. On a daily basis, you will sort and distribute mail and handle additional administrative duties, such as data entry, client payment processing and drafting of simple correspondence.
Legal experience is a plus, but not required. We are looking for a candidate with a willingness to learn
Responsibilities and Duties
· Welcoming clients and visitors upon arrival; determine the reason for their visit
· Answering, screening and forwarding incoming calls in a professional manner
· Handling incoming leads for multiple attorneys
· Handling follow-up calls for multiple attorneys
· Answering emails in a timely manner
· Collect information from potential new clients to send to attorneys to evaluate
· Scheduling and confirming consultations/appointments
· Oversee mail and package deliveries
· Provide daily support to attorneys
· Managing and updating attorney calendars
· Assisting with filing, copying, emailing, faxing and scanning
· Maintaining the waiting and lobby area
· General administrative support
Requirements
· Must possess excellent customer service and interpersonal skills
· Ability to operate multi-line telephone systems efficiently
· Ability to prioritize by urgency and importance and multitask
· Respect for confidentiality and discretion
· Attention to detail
· Experience working with Microsoft Word, Excel, Outlook and Teams
· Ability to learn and adapt to changing circumstances
· Ability to work in a team environment as well independently
· Become efficient in using legal software
