Job Description

The Administrative Coordinator is responsible for the coordination of the administrative support function for all clinical operations units under the VP of Health Affairs. The coordinator collaborates with MatureCare’s site supervisor and Student Health’s office manager on administrative and clinical academic operations. The Coordinator assures that all operational units reporting to the Department Chair of Primary Care and the Director of Student Health are provided with qualified administrative support and assistance to meet their particular needs at any given time.

Responsibilities
  • Serve as a liaison between the medical practice managers, billing specialist, and senior management team.
  • Facilitate effective and timely communication including between important constituents; Respond in an appropriate and timely manner to critical needs.
  • Perform a variety of tasks related to the development and maintenance of computerized departmental records using personal computers: design and basic programming of appropriate databases and data management/reporting systems using PC software; initial database input; ongoing use of the system, involving regular data input and using programs to generate a variety of regular and special reports.
  • Develop, organize and maintain various departmental files and records, frequently involving cross filing and cross-referencing systems.
  • Confer regularly with the MatureCare Site Supervisor and Student Health Office Manager.
  • Interface with members of MatureCare, Student Health, and other COM departments to acquire knowledge of the college’s functioning, to answer general questions, direct inquiries, and assist with specific tasks as requested by supervisor.
  • Manage and prepare satisfaction surveys and other annual/quarterly reports
  • Maintain knowledge of duties for other Department of Primary Care and Student Health professional staff to allow for cross coverage when necessary
  • Answer phone and email, greet visitors, answer questions, take messages, make appointments, referring to other personnel/offices as appropriate
  • Reconcile travel expenses for the medical practices.
  • Other duties as assigned.

Qualifications
Associate’s or Bachelor’s Degree in the liberal arts, business or other appropriate discipline, plus three to five years of relevant secretarial and administrative experience, or a combination of education and experience from which comparable knowledge and skills have been acquired.
  • Experience in an academic or medical practice environment providing advanced administrative support is highly desirable or any equivalent combination of experience, education and training which provides the required knowledge, skills and abilities.
  • Excellent written and oral communication skills.
  • Proficient with Microsoft Office Systems: Outlook, Excel, Microsoft Word
  • Experience with Banner, Medicat or other electronic health record system, and other computer applications helpful.
  • Necessary judgment, tact, and resourcefulness.
  • Ability to maintain a high level of confidentiality.
  • Ability to prioritize multiple demands and projects; good project management skills and an understanding of working with complex projects.
