GENERAL SUMMARY OF DUTIES:

The Office Manager is Responsible for the efficient daily operations of the physician practice, while providing positive leadership to all practice staff. The Office Manager professionally oversees making sure the practice is running smoothly and successfully.

RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

  • Implement policies and procedures for the practice.
  • Direct and supervise staff
  • Analyze requisitions, purchases, and other business information.
  • Responsible for evaluating staffing needs to ensure adequate staffing.
  • Responsible for the activities of office team. Part of the duties in this regard include managing the recruitment process, carrying out/coordinating training for newly recruited staff, and ensuring completion of training.
  • Immediately resolves issues that may arise amongst staff and carry out regular staff performance checks in accordance with policies.
  • Schedules (weekly/monthly/or as necessary) meetings with staff on a regular basis and maintain attendance and minutes of the meetings.
  • Encourages good relationship between staff and patients, making sure patients are aware of services available and helping them to access it.
  • Prioritizes and/or manages staff workload, appropriately assigning duties to them.
  • Adjusts schedules as needed during staff absences, monitors attendance.
  • Review and approve weekly time records of staff, monitor overtime.
  • Serves as a resource to all members of departments and ancillary sites as needed.
  • Serves as a liaison between physicians and other clinical areas to facilitate and resolve daily operational needs.
  • Advise Director of Operations of any potential concerns/problems at the office.
  • Maintain positive and professional attitude with all internal and external customers.
  • The office manager makes sure that laws that guide health practice are always adhered to by regularly reviewing office policies and that the office meets all safety standards.
  • Facilitate and provide specialized training as needed.
  • Disciplinary action.
  • Staff engagement.
  • Cross-trained in all areas of the office.
  • Participates in educational activities.
  • Maintains patient confidentiality.
  • Act as team player: collaborate, communicate clearly, and cooperate with staff with focus on mission and goals of CSUA/Solaris.
  • Enhances communications by consistently displaying excellent customer service skills in behavior and attitude.
  • Other duties as assigned
Requirements:

EDUCATION:

  • Degree in Management or equivalent experience.
  • High school diploma or GED required.

EXPERIENCE:

  • 3-5 years Physician office management and/or supervision.
  • Experience with EMR
